Emil Herzberg Martial Arts Academy (EHMAA)
At EHMAA, we are committed to maintaining a professional, disciplined, and respectful training environment where every member can develop, progress, and perform at their best.
By training with EHMAA, all members and parents/guardians agree to the following policies.
1. Conduct & Behaviour
EHMAA operates a zero-tolerance policy on unacceptable behaviour.
The following will not be accepted or tolerated:

Bad behaviour
-
Negative attitudes
-
Bad language
-
Disruptive conduct
-
Excessive contact
-
Fighting without control
Any member displaying the above may be asked to leave the academy.
During all sessions:

There is no talking when a coach is addressing the class
-
Full attention must be given to the coach at all times
All members are expected to train with:
-
Respect
-
Discipline
-
Focus
2. Membership & Payments
-
Membership fees are collected via monthly Direct Debit (GoCardless)
-
Payments must be kept up to date to secure your place
-
Failed or late payments will incur a £5.00 charge
-
Repeated failed payments may result in suspension from training
EHMAA reserves the right to review and adjust membership fees annually
Cancelling your Direct Debit may result in loss of your training place
3. Attendance & Commitment

Regular attendance is essential for progression
-
Members are expected to train consistently
-
Attendance is monitored and forms part of overall development
-
Low attendance may affect grading eligibility
4. Registering Non-Attendance
All absences must be reported in advance:
-
Absences must be logged via the Coacha system
-
If this is not possible, EHMAA must be contacted directly
-
Absences should be reported before the class start time
-
Failure to report absences may affect attendance records and grading eligibility
-
Repeated unexplained absences may be followed up
5. Grading & Assessment

Gradings take place on scheduled dates throughout the year
-
All members are required to attend grading sessions for assessment purposes, even if not grading
-
Grading blocks are completed over two sessions, both of which must be attended
Progression is based on:

Ability
-
Effort
-
Attitude
-
Consistency
Attendance alone does not guarantee grading
6. Uniform & Equipment
Members must adhere to EHMAA uniform and equipment standards:
Required uniform:
-
EHMAA training top
-
EHMAA shorts or approved kickboxing trousers
For sparring:
-
Head guard
-
Gum shield
-
Boxing gloves
-
Shin protection
-
Foot protection (fully covered including heel)
All equipment must:
-
Be approved by EHMAA
-
Be clean, safe, and well maintained
-
Be suitable for controlled training and sparring
EHMAA reserves the right to refuse the use of any equipment deemed unsuitable or unsafe.
Failure to meet these requirements may result in exclusion from training activities.
7. Health & Safety

No shoes are permitted on the mats
-
Any injuries or medical conditions must be reported prior to training
-
Members must arrive fit and ready to train
-
EHMAA operates with:
-
DBS-checked coaches
-
First aid trained staff
-
Controlled and supervised sessions
8. Parents & Guardians (Junior Members)
-
Parents/guardians must remain in the venue until class begins
-
Children must be supervised until handed over to a coach
-
Children must be collected promptly at the end of class
9. Spectator Policy
-
Spectators are not permitted during regular classes
-
Exceptions may be made for authorised events (e.g. gradings, presentations)
All spectators must follow EHMAA instructions at all times.
10. Communication
EHMAA communicates important information via:

Email (Coacha system)
It is the responsibility of members and parents/guardians to remain up to date with:

Class updates
-
Gradings
-
Events and announcements
11. Member Information & Responsibility
Members, parents, and guardians are responsible for ensuring that all personal information held by EHMAA is accurate and kept up to date via the Coacha system.
This includes:

Medical information and conditions
-
Contact telephone numbers
-
Address details
-
Emergency contact information
-
Next of kin details
Any changes must be updated immediately.
Failure to do so may:

Impact communication
-
Delay response in an emergency
-
Affect safe participation in training
12. Licensing & Insurance
-
All members must hold a valid licence (NAKMAS)
-
No licence = no training
-
Licences must be renewed annually
13. Photo & Media Consent
EHMAA may take photographs and videos during training, gradings, and events for:

Promotion of the academy
-
Showcasing progress and achievements
-
Marketing across social media and website platforms
Consent is managed via the Coacha system.
Members, parents, and guardians are responsible for:

Ensuring consent preferences are correctly set
-
Updating preferences if they change
EHMAA will always aim to use media respectfully.
Where consent is not granted, reasonable efforts will be made to:

Avoid capturing identifiable images
-
Remove content upon request where applicable
14. Cancellations & Closures
EHMAA reserves the right to:

Cancel or reschedule sessions when required
-
Close for holidays, events, or operational reasons
Notice will be provided where possible.
15. Code of Commitment
By training at EHMAA, you are committing to:

Consistent effort and participation
EHMAA is built on standards, not shortcuts.
