Policies, Terms & Conditions
1. General Conduct & Standards
At EHMAA, we pride ourselves on maintaining a professional, disciplined, and respectful training environment.
All members are expected to:

Show respect to coaches, assistants, and fellow members at all times

Listen and follow instructions immediately

Train with effort, focus, and a positive attitude
EHMAA operates a “hard but fair” coaching approach. We do not lower standards, we raise individuals.
Any behavior that disrupts the class or disrespects others may result in removal from the session.
2. Membership & Payments

Membership fees are paid via monthly Direct Debit (GoCardless)

Payments must be made on time to secure your place
-
Failed or late payments will incur a £5.00 charge
-
Continued missed payments may result in suspension from training
EHMAA reserves the right to review and adjust membership fees annually
Cancelling your Direct Debit may result in loss of your class space, as spaces are limited and often in high demand.
3. Attendance Expectations

Regular attendance is essential for progression

Members are expected to maintain a consistent training schedule
-
Low attendance may affect grading eligibility
EHMAA tracks attendance, and all members are expected to meet minimum standards of commitment
4. Grading & Assessment

Gradings take place on set dates throughout the year
-
All members must attend grading sessions for assessment purposes, even if not grading
-
Gradings are completed over two sessions, both must be attended
Progression is based on:

Ability
-
Effort
-
Attitude
-
Consistency
Attendance alone does NOT guarantee grading
5. Uniform & Equipment Requirements
EHMAA has a strict uniform policy to maintain professionalism:
Required:

EHMAA training top
-
EHMAA shorts or approved kickboxing trousers
-
Gum Shield
-
Boxing Gloves
For sparring:
-
Head guard
-
Gum shield
-
Boxing gloves
-
Shin and foot protection (fully covered, no exposed toes)
All equipment must be:

Clean
-
Well maintained
-
Safe for use
Failure to meet kit requirements may result in exclusion from certain parts of the class.
6. Health & Safety

No shoes are permitted on the mats
-
No Jewellery
-
Members must arrive fit to train
-
Any injuries or medical conditions must be reported to a coach
EHMAA conducts regular safety checks and operates with:

Qualified, DBS-checked coaches
-
First aid trained staff
-
7. Parents & Guardians (Kids Classes)
-
Parents must remain in the venue until class begins
-
Children must be supervised until handed over to a coach
-
Parents must be on time for collection
No unauthorised access to the training area is permitted during sessions.
8. Spectator Policy

No spectators are allowed within the training hall during class times.

Exceptions may be made for:

Trial sessions
-
Grading result nights
-
Special events
-
All spectators must be authorised by EHMAA staff.
9. Communication
EHMAA communicates through:

Email (COACHA system)
-
WhatsApp groups
-
Facebook group
It is the member’s responsibility to stay up to date with:

Class changes
-
Events
-
Grading information
-
10. Licensing & Insurance

All members must hold a valid NAKMAS licence
-
No licence = no training
-
Licences are renewed annually
-
11. Cancellations & Closures
EHMAA reserves the right to:

Cancel or reschedule sessions where necessary
-
Close for holidays or events
All updates will be communicated in advance where possible.
12. Code of Commitment
By training at EHMAA, you are committing to:

Improving yourself
-
Showing discipline and respect
-
Being part of a strong, positive training environment
13. Registering Non-Attendance
All absences must be reported in advance.

Absences must be logged via the Coacha system where possible
-
If you cannot access Coacha, you must contact EHMAA directly
-
Absences should be reported before the class start time
-
Failure to report absences will impact attendance records and may affect grading eligibility
-
Repeated unreported absences will be followed up
